Adjust Stock Level

Receiving and shipping products

If you know the product number.... Press [Adjust Stock] button in the left panel. Press [Ship] or [Receive] button. Post New Inventory Transaction dialog appears. Enter the product number and adjust product quantity, if desired, and save the transaction.

If you do not know the product number... Press [Search] button in the left panel. Enter any attribute of the desired product (name, number, group, manufacturer, etc.). Locate the desired product in the Search result. Choose Receive or Ship from the Action (first column) drop-down menu. Post New Inventory Transaction dialog appears. Adjust product quantity, if desired, and save the transaction.


Shipping kits

If you know the kit number.... Press [Adjust Stock] button in the left panel. Press [Ship Kit] button. Post New Kit Transaction dialog appears. Enter the kit number and adjust kit quantity, if desired, and save the transaction.

If you do not know the kit number... Press [Kit List] button in the left panel. Locate the desired kit in the Kit. Choose Ship from the Action (first column) drop-down menu. Post New Kit Transaction dialog appears. Adjust kit quantity, if desired, and save the transaction.


Ordering products

Products are placed on order the same way as receiving and shipping products except the Transaction Type should be On Order.

On Order transactions do not affect the Physical or Available Inventory levels.

To receive products previously placed On Order... Press [Adjust Stock] button in the left panel. Enter (or lookup) the Product Number inside the [Receive previously ordered] button and press the button to display On Order products. Locate the desired product in the displayed OnOrder transactions list. Choose Receive On Order from the Action (first column) drop-down menu.

To view all products On Order... Choose Reports | On Order Stock - To Receive


Allocating products

Products can be allocated the same way as receiving and shipping products except the Transaction Type should be Allocate.

Allocate transactions do not affect the Physical stock levels but they do affect Available Inventory levels.

To ship products that were previously Allocated... Press [Adjust Stock] button in the left panel. Enter (or lookup) the Product Number inside the [Ship previously allocated] button and press the button to display Allocated products. Locate the desired product in the displayed Allocate transactions list. Choose Ship Allocated from the Action (first column) drop-down menu.

To view all Allocated products... Choose Reports | Allocated Stock - To Ship


Grouping transactions using Batch Id

When recording any inventory transaction, you may optionally enter a Batch Id for that transaction. You can enter the same Batch Id for multiple transactions. Later you can lookup all transactions in that batch together.

To view all transactions in the same batch, choose Reports | Recent Transactions to display recent transactions. Choose View Batch from the Action (first column) drop-down menu for any transaction. All transactions in the batch are displayed.


Uploading adjustments from file

Adjustments to stock levels can be uploaded from a file. In StockQuery, choose Adjust Stock | Upload from file to upload adjustments from a file.

To create a file containing adjustments:

  1. Create a text file anywhere on your local hard drive or Desktop
  2. Scan or enter Product Numbers (one per each line) in the text file. For multiple units of the same product, the same Product Number should appear multiple times in the file
  3. Save file
  4. Choose Adjust Stock | Upload from file. Choose the file you just saved

Here is a sample import file for uploading stock adjustments.

You can specify product quantities explicitly in the adjustments import file. To accomplish this, create a MS Excel CSV (Comma Separated Values) file with two columns. The first column must contain the product number and the second column must contain a quantity.
